Instructions for MCLS Presenters

General Instructions 

All presenters (symposia, lightning symposia, individual presentations, posters) should upload their materials to the shared folder at least 48 hours before their presentation, and to upload the final copy of the presentation before the start of the session. Shared folder links for each presentation day will be available at least 2 weeks before the conference:

Please be respectful of others’ materials – do not alter or share any content that is not your own. Folder access will be revoked at the end of the conference and all materials discarded.

We recommend putting your contact info or links to your presentation materials with a QR code to continue the conversation.  

General Presentation Guidelines 

Please keep accessibility in mind when designing your presentation materials: 

  • Reduce the amount of text on slides and posters (use images)
  • Ensure fonts are large enough and easy to read
  • Avoid overcrowding the slides or posters.

Presenters in Symposium Talks

All symposium presentations should be uploaded to the shared folder a minimum 48 hours in advance of the session. The chair or co-chairs of each symposium are in charge of compiling the presentations onto the computer of the room they are assigned to.  

All symposium presenters should arrive to set up at least 15 minutes before the start of the symposium. Each symposium lasts one hour and 15 minutes (75 minutes) for 4 presentations, or 3 presentations and 1 discussant. We recommend that each presentation is approximately 15 minutes, with 3-4 minutes for questions after each presentation. 

The chair or co-chairs of the symposium are in charge of ensuring that all presentations stay within the time limit. To be respectful of everyone’s time, presenters will be asked to stop if their presentation goes over the time limit. 

Each symposium room will have a student helper who is available to respond to technical questions and can assist with setup. 

 

Presenters in Lightning Symposium Talks

All lightning symposia should be uploaded to the shared folder at least 48 hours in advance of the session. The chair or co-chairs of each session are in charge of compiling the presentations onto the computer of the room they are assigned to.  

All lightning symposium presenters should arrive to set up at least 15 minutes before the start of the session. Each individual lightning symposium session is 45 minutes for 4 presentations, or 3 presentations and 1 discussant. We recommend that each presentation is approximately 8 minutes, with 3-4 minutes for questions after each presentation. 

The chair or co-chairs of the lightning symposium are in charge of ensuring all presentations stay within the time limit. To be respectful of everyone’s time, presenters will be asked to stop if their presentation goes over the time limit. 

Each lightning symposium room will have a student helper who is available to respond to technical questions and can assist with setup. 

Presenters in Individual Talks 

All individual talks should be uploaded to the shared folder at least 48 hours in advance of the session. The chair or co-chairs of each session are in charge of compiling the presentations onto the computer of the room they are assigned to.  

All individual talk presenters should arrive to set up at least 15 minutes before the start of the session. Each individual talk session is 90 minutes for a maximum of 7 presentations. Each presentation should last no more than 10 minutes, with 2-3 minutes for questions after each presentation. 

As with symposia and lightning sessions, an invited chair will be responsible for ensuring that all presentations remain within the allocated time. To respect everyone’s schedule, presenters will be asked to stop if they exceed the time limit.

Each Individual talk session will have a student helper in the allocated room who is available to respond to technical questions and can assist with setup. 

Poster Presentations 

Posters should be formatted vertically, in portrait A0 size. The A0 paper size (width x height) is 841 mm x 1189 mm, 84.1 cm x 118.9 cm or 33.1 inches x 46.8 inches.

Digital copies of posters must be uploaded to the shared folder at least 48 hours before they are scheduled to be presented.  

Each poster has been assigned a number in the conference program booklet. Poster presenters will find the number of the poster in the booklet and will attach the poster to the poster board with the same number. 

Please ensure that font sizes are large enough to be read from a short distance. We recommend sans serif fonts, such as Arial, Helvetica or similar, as these are easiest to read. 

Materials for attaching the poster will be provided during the poster session. 

There are poster sessions across all three days of the conference. You can put up your poster prior to the poster session, provided it does not conflict with another poster session.

Posters should be presented during their assigned times. You are responsible for removing your poster after your session to ensure the next poster can be set up.
